Fully Informed Conversations Inc. ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website www.fullyinformedconversations.org or use our services.

Name and email address when you contact us through our website form
Voice data when you interact with our AI advisors (Fiona and Victor)
Any personal information you voluntarily share during conversations with our AI advisors

3. How We Use Your Information
We use the collected information for the following purposes:
To provide and maintain our services
To improve our website and services
To respond to your inquiries
To generate personalized Advance Directives
For research and development to enhance end-of-life care resources
4. How Fiona and Victor handle your conversation
What we keep. When you talk with Fiona or Victor, we keep:
the audio recording and a written transcript of the conversation;
for Fiona, the information you give to prepare your Advance Directive: your name, email address, state, your Representative's name and your choices;
the Advance Directive document we create;
your phone number and the PIN you choose, which are used only so you can resume an unfinished conversation.
Who processes it. We use service providers to run the advisors:
Retell AI provides the voice platform. It works with speech-recognition and AI language-model providers, including Anthropic.
Zapier, Make and Airtable store and route records.
Documint creates the document.
Our email provider sends it to you.
These providers process your information only to deliver this service to us. Our agreements with these providers do not permit them to use your conversations to train their AI models.
How we use it. We use your conversation to answer your questions and to create and send your Advance Directive. FIC staff may review transcripts to check accuracy and improve Fiona and Victor. We do not sell your information. We may share anonymized, aggregated data for research to improve end-of-life care resources.
How long we keep it. We keep:
recordings and transcripts for 12 months, so we can improve our systems;
Advance Directive records for 12 months so we can help with questions or resend your document;
resume phone numbers and PINs until your conversation is complete or 30 days, whichever comes sooner.
After that we delete them, or keep only anonymized data.
Your choices. You can ask us to see, correct or delete your information at admin@fullyinformedconversations.org. We will respond within 30 days and ask our providers to delete it too. Copies in backups are removed as those backups expire.
5. Sharing of Information
We do not sell, trade, or rent your personal information to third parties. We may share anonymized, aggregated data for research purposes or to improve end-of-life care resources.

You have the right to:
Access your personal information
Correct inaccurate or incomplete information
Request deletion of your personal information
Opt-out of certain data processing activities
